Your 2025 Tax Documents Checklist: What to Gather Before You File

A practical checklist of the W-2s, 1099s, 1098s, and business records to gather before filing your 2025 return, plus how to catch missing forms early.

The most common reason a return gets delayed isn't a complicated tax question. It's a missing form. A 1099 that went to an old address, a brokerage statement that got corrected in March, a mileage log that was never really a log. Early February is the right time to start gathering, because most of your forms should be arriving about now.

Employers had until Monday, February 2, 2026 to send 2025 Forms W-2 and 1099-NEC (January 31 fell on a Saturday this year). Brokerage forms often come later, so don't be surprised if those trickle in through February.


Income Documents

  • W-2 from each employer, including your own S corporation if you're on payroll
  • 1099-NEC from clients who paid you $600 or more for services in 2025
  • 1099-K from payment platforms and card processors (Stripe, PayPal, Square, marketplaces)
  • 1099-B or a consolidated brokerage 1099 for stock and fund sales
  • 1099-INT and 1099-DIV for interest and dividends
  • 1099-R for retirement account distributions and rollovers
  • K-1s from partnerships, S corporations, or trusts (these often arrive in March or later)

A quick word on the 1099-K: it reports gross payments, before refunds, fees, and chargebacks. It can also overlap with income a client already reported on a 1099-NEC. Neither of those means you pay tax twice, but both have to be reconciled on the return.

Also, income is taxable whether or not you get a form for it. The forms help, but your books are the real record.

Deduction and Credit Documents

  • Form 1098 for mortgage interest
  • Form 1098-T for tuition and 1098-E for student loan interest
  • Form 1095-A if you had Marketplace health coverage (needed to reconcile the premium tax credit)
  • Charitable contribution receipts
  • Childcare provider name, address, tax ID, and amounts paid

Business Records

If you run a business, this is where most of the work is. The forms above are the easy part. What really drives your return is whether the books are finished.

  • Profit and loss statement for January through December 2025
  • Balance sheet as of December 31, 2025, with bank and credit card accounts reconciled
  • Mileage log showing dates, destinations, business purpose, and miles, plus the vehicle's total miles for the year
  • Home office square footage and total home square footage, if you use that deduction
  • Equipment and vehicle purchases with dates and invoices. Under the 2025 tax law changes, 100% bonus depreciation is back for qualifying property acquired after January 19, 2025, so the acquisition date matters.
  • Payroll reports and year-end filings, if you have employees
  • 1099s you issued to contractors. For payments made in 2025, the $600 threshold still applies. The new $2,000 threshold starts with payments made in 2026.

Payments You Already Made

This one gets forgotten constantly. List every 2025 federal and state estimated payment with its date and amount, including the one due January 15, 2026. You can confirm federal payments in your IRS Online Account. Also note any overpayment from your 2024 return that you applied to 2025.


Example Scenario

A design consultant brings in her 1099-NECs, which total $84,000. Her bank deposits for the year show $91,500. Where did the other $7,500 go?

  • $5,800 came from clients who paid by card through Stripe. That shows up on a 1099-K, not a 1099-NEC.
  • $1,200 came from two small clients who each paid her less than $600, so neither was required to send a 1099-NEC. It's still income.
  • $500 was a transfer from her personal savings account, which isn't income at all.

If she'd filed from the 1099-NECs alone, she would have underreported income that the IRS can see on the 1099-K. If she'd filed from bank deposits alone, she would have overpaid on the $500 transfer. Reconciling the two takes an hour when the books are current and much longer when they aren't.

Start a folder now, physical or digital, and drop each form in as it arrives. Check it against last year's return so nothing obvious is missing. A complete package in February means a faster, more accurate return in March and a lot less stress in April.
